Hello everyone. Letters are written to inform and
persuade or thank people. In a nutshell, each should provide information,
identify problems, and supply solutions – unless the letter is simply a show of
appreciation. This is a universal truth, the same in Atlanta as New York City
or a small town in Nebraska.
Letter writers need to write to the correct person in
authority, detail the situation, and press for a solution that they provide for
their client. It does little good to simply point-out problems without
potential solutions; that makes it unlikely to do any good, as the reader would
have to work too hard and think too much to change things.
Often, the tone matters as much or more than the content.
That is why it is important for a letter writer to know the reader or to at
least be told something about him or her.
In addition, the letter should be written with matter of
fact authority, as if what is written is a given and understood. Letters need
to be deemed as professional and authoritative. The words should be respected.
The sender must be represented as respected as well.
A good letter writer will also figure out a way or an angle
to have the reader want to join in on the potential solution by the sender. The
writer can make the reader have a stake or something to gain by agreeing with
the letter. Self-interest is alive and well in corporate America.
Letters must be human, but be focused and as concise as
possible. It is not all about the letter, but what the letter can and will do
for the sender. The words are just a means to the sender’s desired ends. Please
